The supplier information inputted is owned by you the supplier. It will only be shared with the buying organisation who subscribe to the “Community” and will not be shared with any other third party.
Other suppliers will not have access to the information you provide. It is only available to the buying organisations within each community of JOSCAR/ FSQS/ RSQS. Each buying organisation has signed a confidentiality agreement with Hellios.
All supplier information is stored in Tier 4, SSAE16 Type II certified datacentres exclusively in the UK. Transmitted information is encrypted using TLS 1.2 256-bit. Access to the information is via username and forced secure password and all access sessions are handled through security tokens that track each user. IDS/IPS is used at the network perimeter and internal host. Weekly security scans are conducted along with Independent 3rd party penetration testing, forensics and external audit.

12 months. For suppliers who are only required to complete the Stage 1 qualification, the renewal date is set 12 months after Stage 1 qualification has been approved. For suppliers who are required to complete Stage 2 qualification, the renewal date is set 12 months after the stage 2 questionnaire has been issued. Hellios will issue reminders to suppliers 6 weeks in advance of their qualification expiry date.
No, you will not be required to provide any pricing or commercial information in either stage 1 or stage 2 of the process.
We will not use your information for any other purpose but that set out in our terms and conditions and will not sell or share your information with third parties. We do not use information for marketing or promotional services except for those relevant to the scheme. We keep information confidential and your information is seen only by yourself and the buyers registered on the scheme. Each buyer enters into an agreement which ensures that they are aware and consent to respect the confidential nature of the information provided.

The first step to qualification and compliance is to complete and submit the stage 1 questionnaire by the deadline indicated in your invite email. To start the process, click on the unique registration link provided. This will take you to a web-page where you can click ‘start the survey’ at the bottom of the page and from there complete the questionnaire. Once completed click the ‘Save & Send Updates’ button to submit your questionnaire to Hellios for validation

Once your questionnaire has been published, we can provide a registered certificate and community logo to be used on your website and within your marketing materials. To request a certificate please refer to the Contact Us page or send an email to email@example.com referencing your company name, registered community and unique ID.
The Stage 2 questionnaire is dependent on the answers provided within Stage 1. Once Stage 1 has been validated and published by Hellios, we will then contact you by email to inform you of whether Stage 2 will be required.
Hellios will contact you 6 weeks before your renewal date. This will ensure you have enough time to review and resubmit your stage 1 questionnaire, and if applicable stage 2.
When a document expires, you are required to log on to your supplier portal using the credentials previously provided and update all expired documents. Hellios will then validate any new information or documents and publish the information.
If your company name changes, you are required to log on to your supplier profile using the credentials previously provided and update question 1.1.1 Full Company Name.
In the event that your company changes its legal entity, i.e. Company Registration number, a new account will be created and another invite email issued. In these circumstances you will be required to re-put any information previously provided. For this to happen, please contact Hellios on 01865 959100.
It is possible to change the primary contact in either stage 1 when filling in the questionnaire or alternatively when you are published. If you change the primary contact in your initial questionnaire any further emails will be sent to the new contact email address provided. Alternatively, if you have completed the process, you can log on to supplier portal and update the contact from there. Once this has been validated the new contact will be updated.
